Privacy Policy
Last updated: October 25, 2026
BillGem (billgem.com and the BillGem Android app) helps households keep track of what they spend. BillGem is operated by ClaimNovaCare LLC ("we", "us"). This policy explains what we collect, why, who helps us, and the choices you have.
What we collect
- Your account: your name, and the phone number or email address you sign in with, your language and country.
- What you add: bill photos you scan, the items, prices, shops and dates on them, things you type or say to add an expense, subscriptions and goals you set up.
- Payments you choose to send us: payment emails you forward to your private BillGem address, Apple Pay or bank text messages sent by an iPhone automation you set up, and payment notifications read by the BillGem Android app if you turn that on (payments you make, and money you receive, which is filed under Money in). We keep the amount, shop or sender, date and category, and a short log line; we do not keep the full message.
- Statements you upload: a bank, card or payment-app statement file is read once to list its payments for you to check, then discarded. We keep only the payments you choose to add (date, amount, shop, category).
- Connected banks (United States and Canada): if you choose "Connect your bank", our partner Plaid gives us your transactions from that bank: amount, date, merchant name and Plaid's category. We use them only to add your purchases as expenses.
- Notifications: if you allow reminders, your browser gives us a technical address to send them to. Your time zone is used to send them at the right time.
What we never collect
- Your bank password or login. You sign in to your bank inside Plaid's secure window; we never see it.
- Full card numbers. BillGem cannot move money, make payments or change anything at your bank.
- We do not sell your information, and we do not use it for advertising.
How we use it
- To show your household its spending: totals, categories, prices, reminders and tips.
- To read bill photos and spoken or typed expenses into items and categories.
- To keep the service secure and working, and to answer you when you contact us.
Who helps us
These companies process data for us only to provide BillGem:
- Plaid connects your bank when you choose to. Plaid's own policy explains how it handles your data: Plaid End User Privacy Policy.
- Anthropic (AI) reads bill photos and the text of payment messages and spoken expenses to find items, amounts and categories.
- Fly.io hosts the BillGem servers and database.
- Cloudflare receives payment emails you forward to your BillGem address.
- Google, only if you choose "Sign in with Google".
- Text message and push notification services deliver sign-in codes and reminders.
- A speech-to-text service (Sarvam AI or OpenAI) turns what you say into words when you use the microphone. Only the few seconds you record are sent; neither BillGem nor the service keeps the recording.
If you scan a product barcode, only the barcode number is sent to Open Food Facts to look up the product name.
Your household
Everyone you invite to your household can see the household's expenses. Only the owner can change household settings.
Security
Data travels over encrypted connections (HTTPS). Bill photos and the bank connection keys from Plaid are stored encrypted. Passwords and PINs are never stored in readable form.
Your choices
- Disconnect a bank any time on the Automatic payments screen; new transactions stop immediately. Expenses already added stay until you delete them.
- Turn off reminders, payment emails, the Apple Pay automation or the Android app's notification access at any time.
- Download your data from the Download screen.
- Ask us to delete your account and everything in it by writing to the address below.
Keeping and deleting
We keep your data while your account is open. When you ask us to delete your account, we delete it, and disconnect any bank, within 30 days, except where the law requires us to keep something.
Children
BillGem is meant for adults managing a household. It is not directed at children under 13.
Changes
If we change this policy in a way that matters, we will tell you in the app before the change applies.
